Who is 4K Compliance for?

Do you replace a safety director or attorney?

No. 4K Compliance provides administrative compliance support, record organization, compliance tracking, and C/TPA-style DOT Drug & Alcohol Program Administration. Motor carriers remain responsible for their operations and regulatory compliance. 4K Compliance does not replace a safety director and does not provide legal, tax, accounting, dispatch, or employment services unless separately agreed in writing. Legal questions should be handled by a qualified attorney.

No. 4K Compliance is a private administrative support service. We help carriers organize records, understand paperwork, keep important compliance items visible, and manage requested support work. We are not a government agency or enforcement office.

Why do you ask for documents?

Documents are requested only when needed to help organize records, review compliance items, complete requested support work, or track required deadlines. The goal is to make the process clearer, not to make carriers feel exposed.

Do I stay in control of my business records?

Yes. Motor carriers remain responsible for their operations, records, and compliance decisions. 4K Compliance helps organize and support the process, but carriers remain in control of their business records and final operational decisions.

Can I send screenshots or photos if I am not sure what something is?

Yes. You can send a screenshot, photo, letter, notice, or short explanation, and we can help identify what it is and what the next step may be. You do not need to know the exact name of every filing or document before asking for help.

What is included in monthly support?

Managed Compliance Support is a higher-touch remote administrative service. It may include portal access, DQ file setup and organization, driver onboarding document support, Clearinghouse setup/support, DOT Drug & Alcohol Program Administration, filing support, compliance deadline tracking, missing document follow-up, record uploads, and ongoing administrative follow-up.

What does the carrier need to provide for managed support?

Motor carriers and drivers must cooperate and provide accurate information, required documents, mileage reports, fuel reports, signatures, portal access, government account access, and payment for government or third-party fees when needed. 4K Compliance can assist with preparation, filing, tracking, and administrative follow-up, but the motor carrier remains responsible for final compliance, operations, decisions, and timely cooperation.

Can you help clean up old or missing paperwork?

Yes. Record organization is often the first step. We can help review what you have, identify missing records, organize documents into the portal, and build a more repeatable process going forward.

Can you help organize old or incomplete records?

Yes. Old and incomplete records can be reviewed, sorted, uploaded, and organized into a more usable system. We can also help mark what still needs to be collected so the cleanup does not stay stuck in someone's memory.

Do you handle everything automatically?

No. Some items require carrier decisions, driver cooperation, signatures, third-party testing providers, government portals, or state agencies. We help organize, remind, track, and guide the process so fewer items fall through the cracks.

Will someone help me get started?

Yes. Setup help is part of the process. We can help review what you have, explain what belongs in the portal, and help you understand how records, reminders, and uploads are organized.

Do you work with larger fleets?

Yes. 4K Compliance supports owner-operators, small fleets, and growing operations. Larger fleets, including operations with 10+ trucks, may benefit from portal implementation, Compliance Infrastructure Buildouts, compliance administration support, or ongoing Managed Compliance Support depending on their staffing structure and operational needs.

What is a Compliance Infrastructure Buildout?

A Compliance Infrastructure Buildout is an implementation project designed to organize records, identify missing items, configure portal access, establish workflows, and improve compliance visibility before ongoing support begins.

Do all larger fleets need a Compliance Infrastructure Buildout?

No. Some fleets already have organized records and established systems in place. The scope depends on the current state of records, staffing, workflows, and compliance processes.

Can we use the portal if we already have a safety manager?

Yes. Many growing fleets already have safety staff, office personnel, recruiters, dispatch teams, or existing compliance systems. The portal and compliance support services can be used alongside your existing team to improve visibility, organization, reporting, and workflow consistency.

Can you help me start a new trucking authority?

Yes. Authority setup support can include USDOT, MC authority, BOC-3 coordination, UCR, insurance activation guidance, basic startup compliance steps, and help understanding what comes after filing.

How much does authority setup cost?

Authority Launch is $1,200 one-time. Authority + Compliance Launch is $2,500 one-time for carriers who want more compliance structure before running.

What is the difference between the authority packages?

Authority Launch is for filing help, activation guidance, and a startup checklist. Authority + Compliance Launch adds compliance file structure, Clearinghouse Administration, portal setup, and first-month record organization.

Government fees, state fees, testing costs, collection site fees, MRO fees, SAP costs, Clearinghouse query fees, insurance premiums, and third-party charges are separate unless included in writing. Legal, tax, accounting, dispatch, employment, and safety-director replacement services are not included unless separately agreed in writing.

Can you help if my authority is already active?

Yes. We can help after authority activation with record organization, compliance setup, filing questions, Drug & Alcohol Program Administration, reminders, and next-step cleanup.

Can you help after a DOT audit or warning letter?

We can help organize documents, review what the letter is asking for, identify missing records, and prepare a cleaner path forward. Serious legal or enforcement questions may require legal counsel.

Are government and third-party fees included?

Government fees, state fees, testing costs, collection site fees, MRO fees, SAP costs, Clearinghouse query fees, insurance premiums, and third-party charges are separate unless included in writing.

Does using the portal guarantee compliance?

No. The portal helps organize, track, and manage compliance-related information, but it does not guarantee compliance or replace the motor carrier's responsibility to follow applicable FMCSA/DOT rules.

Who is responsible for maintaining DOT/FMCSA compliance?

The motor carrier remains responsible for maintaining compliance with applicable DOT/FMCSA requirements. 4K Compliance provides administrative support, organization, compliance tracking, portal tools, and guidance to help carriers manage the process more clearly.

How much work will I still need to do?

Some items still require carrier involvement, driver cooperation, signatures, insurance coordination, government portal access, testing administration, or third-party testing providers.

4K Compliance helps organize records, explain what is needed, track important items, and reduce paperwork confusion, but motor carriers remain responsible for their operations and final compliance decisions.

Drug & Alcohol

DDOT program questions

Who needs a DOT drug and alcohol testing program?

In general, FMCSA Part 382 applies to CDL-required commercial motor vehicle operation. A USDOT number by itself does not automatically mean a random testing program is required. Vehicle type, CDL requirement, operation, and carrier responsibility matter.

Can 4K help with random program enrollment?

Yes. We can help with Drug & Alcohol Program Administration, program enrollment support, Random Selection Administration, testing process administration, Clearinghouse Administration, record organization, and program follow-up. DOT Drug & Alcohol Program Administration is Stand-Alone C/TPA-style program administration: $199 one-time enrollment plus $20/month × enrolled CDL drivers. Examples: 1 driver = $20/month, 5 drivers = $100/month, and 10 drivers = $200/month. Third-party testing, laboratory, collection site, MRO, SAP, Clearinghouse query fees, and other third-party charges are separate.

What if I am leased onto another carrier?

Leased owner-operator situations can depend on who is acting as the motor carrier and whose authority the driver operates under. If you are unsure, send the situation and we can help identify what needs to be confirmed.

Is portal access available by itself?

Yes. Portal Only is $149/month and includes up to 5 CDL drivers, unlimited trucks, trailers, and company users, plus driver portal access. Additional CDL drivers are $15/month each above 5. Examples: 5 drivers = $149/month and 10 drivers = $224/month. DOT Drug & Alcohol Program Administration is separate from the portal-only plan.

What is the difference between Portal Only and DOT Drug & Alcohol Program Administration?

Portal Only includes dashboard access, uploads, filing cabinet organization, driver, vehicle, and company tracking, reminders, and action items. Portal Only does not include monthly compliance review, DQ cleanup, filing preparation/submission, or DOT Drug & Alcohol Program Administration.

DOT Drug & Alcohol Program Administration is Stand-Alone C/TPA-style administrative support for program setup, Random Selection Administration, testing process administration, Clearinghouse Administration, program logs, and record organization. It does not include portal access unless portal access is purchased separately.

How long does portal setup take?

Timing depends on how many records need to be organized and how quickly documents are provided. Simple setups can move quickly. Cleanup-heavy accounts take longer because the records need to be reviewed and sorted.

How is my information stored?

Each motor carrier's records are organized under their own secure company account within the portal. Driver files, vehicle records, uploaded documents, and company compliance items are separated by company-level access permissions.

If a carrier stops using the portal, we can provide a final records export upon request, revoke portal access, and retain archived records according to our internal document retention practices.

We do not publicly display carrier records or share uploaded compliance documents between motor carriers.

What happens if I cancel portal access?

If portal access is cancelled, we can provide a final records export upon request, revoke active access, and retain archived records according to our internal document retention practices.

Can I download my records?

Yes. Records can be exported or provided upon request so your company keeps control of its files and does not feel trapped inside the system.

Who can see my records?

Portal access is role-based. Motor carriers can only access records connected to their company account, and drivers only see information assigned to their own profile when driver access is enabled.

Administrative access is limited to authorized personnel responsible for portal support, compliance organization, or account management.

Is my company information shared with other carriers?

No. Carrier records are not publicly displayed or shared between motor carriers. Each company account is separated by access permissions.

Do I still own my records?

Yes. Your company records remain your records.

The portal is designed to help organize, track, and manage compliance-related information, but motor carriers remain responsible for maintaining their own FMCSA/DOT compliance obligations and recordkeeping requirements.

What is the portal used for?

The portal helps track driver qualification files, CDL and medical card expirations, vehicle documents, insurance, IFTA, IRP, MCS-150, UCR, uploaded documents, missing items, proof documents, reminders, and company compliance items in one place.

Can drivers upload documents?

Yes. Drivers can upload documents from their phone when driver access is enabled. This can help with camera uploads, mobile submissions, and reducing documents scattered across texts, emails, photos, and paper folders.

Do I need to be good with technology to use the portal?

No. The portal is designed to make records easier to see and organize. If you are not comfortable with technology, we can help you understand the basic workflow and keep the setup practical.

What kinds of documents can be stored in the portal?

Common records include driver documents, medical cards, CDLs, MVR-related records, vehicle documents, insurance, registrations, permits, Drug & Alcohol Program records, company filings, proof documents, and other compliance-related files.

Can I track vehicle and company expirations too?

Yes. The portal can help track driver, vehicle, and company-level expiration dates so renewals are easier to see before they become last-minute problems.

Can multiple people from my company access the portal?

Yes. Access can be set up for the appropriate people in your company depending on the account structure and permissions needed.

Can drivers only see their own records?

Yes. Driver access is designed so drivers only see information connected to their own profile when that access is enabled.

Can I see how the portal workflow works before signing up?

Yes. The portal preview page includes example dashboards, upload workflows, health scores, filing organization, and action-item tracking using sanitized demo screens.

The preview is designed to help carriers understand how the system works without exposing real company records or driver information.

How much does monthly support cost?

Owner-Operator Managed Support applies to 1-2 active CDL drivers and is $300/month base plus $50/month per active CDL driver. Examples: 1 active CDL driver = $350/month and 2 active CDL drivers = $400/month.

Small Fleet Managed Support applies to 3+ active CDL drivers and is $500/month base plus $50/month per active CDL driver. Examples: 3 active CDL drivers = $650/month, 5 active CDL drivers = $750/month, and 10 active CDL drivers = $1,000/month.

Managed Compliance Support covers administrative assistance, record organization, filing support, compliance tracking, follow-up, and portal access. Government fees, taxes, registrations, testing costs, insurance premiums, and third-party charges are not included in the monthly service fee.

How much does Portal Only cost?

Portal Only pricing is $149/month and includes up to 5 CDL drivers. Additional CDL drivers are $15/month each above 5, so 5 drivers is $149/month and 10 drivers is $224/month. Unlimited trucks, trailers, and company users are included. DOT Drug & Alcohol Program Administration is priced separately and is not included with portal-only plans.

How much does DOT Drug & Alcohol Program Administration cost?

DOT Drug & Alcohol Program Administration is $199 administration/enrollment setup plus $20/month × enrolled CDL drivers. Examples: 5 drivers = $100/month + $199 setup and 10 drivers = $200/month + $199 setup. Third-party testing, laboratory, collection site, MRO, SAP, Clearinghouse query fees, and other third-party charges are separate. Program administration is included. Portal + Drug Program Bundle is $229/month for up to 5 CDL drivers and includes Portal Access + Drug Program Administration. Additional CDL drivers are $20/month each above 5, so 5 drivers = $229/month, and 10 drivers = $329/month. Save the $199 Drug Program setup fee and save $20/month compared to purchasing Portal Only and Drug & Alcohol separately.

How much does Filing Help cost?

Most straightforward Filing Help services start at $100. Final pricing is confirmed before work begins.

What fees are not included?

Government fees, taxes, registrations, testing costs, insurance premiums, and third-party charges are not included in the monthly Managed Compliance Support fee. Examples may include IFTA tax payments, IRP registration fees, UCR fees, 2290 tax payments, MCS-150 related fees, drug and alcohol testing costs, collection site fees, laboratory fees, MRO fees, SAP fees, Clearinghouse query fees, insurance premiums, state filing fees, and any other government or third-party charges. These costs are billed by the government agency or third-party provider and remain the responsibility of the motor carrier.

Legal, tax, accounting, dispatch, employment, and safety-director replacement services are not included unless separately agreed in writing.

Are IFTA, IRP, and 2290 filings included in monthly support?

Managed Compliance Support may include IFTA return filing support/submission, IRP renewal support/submission, MCS-150 update support/submission, UCR filing support/submission, and 2290 filing support/submission when included in the agreed service scope. Government fees, taxes, registrations, IFTA tax payments, IRP registration fees, UCR fees, 2290 tax payments, state filing fees, and third-party charges remain separate.

Can I request one-time help instead?

Yes. One-time services are available for filings, paperwork cleanup, Drug & Alcohol Program Administration, IFTA, IRP, 2290, MCS-150, Clearinghouse Administration, and related items.

Are long-term contracts required?

The goal is to keep support straightforward and transparent. Any billing terms, cancellation terms, or ongoing support details are explained before work begins.
